We are looking for an Executive Assistant / Office Coordinator (m/f/d) for our office in Munich. As part of the doTERRA Europe the main focus of this role is to provide full secretarial & PA support to the President and Managing Director and be the ‘meet and greet’ for the company with general reception duties Core Responsibilities: Word processing of all communications including presentations Exercising the utmost confidentiality at all times Communicating at all levels on behalf of the President/MD Organizing diaries and meetings Liaising with internal/external personnel as required Taking and screening incoming telephone calls and e-mails, dealing with any queries as appropriate and/or re-diverting to the appropriate individual Handling incoming and outgoing post and e-mails, distributing, actioning and/or drafting replies as appropriate Organizing, facilitating and minute taking at meetings Arranging travel & accommodation on behalf of the President/MD and Senior Management Team Administration of President/MD’s expenses Support the Office Manager Ordering of all office supplies, aligning with budget Control of set budget requirements and obtaining pre-approval Ensuring the smooth running of the office amenities and facilities, in connection with the Office Manager Provide HR with any updates for employee’s information, absence and holidays Assisting with onboarding programs Monitoring of projects and measures in the field of occupational safety Project work as and when required The above duties do not define or include all tasks required of the post holder. Duties and responsibilities may vary without changing the level of responsibility.
